When you want to find all those records that you might need to delete after a specified time (for example, events that have already taken place), you can perform a Purge Date Browse search. You should search for all records for a certain date, then either print out the records or send the records to Cataloging to be deleted.
You can use the printed records to verify with a listed contact person that an event has taken place or was not held and can now be deleted from the Events Calendar. Or perhaps you may find that a record needs to be changed to reflect a new event date. (For instructions on updating an Events Calendar record, see Updating an Events Calendar Record.)
This section explains how to search for records by purge date and then print the selected records or delete them from the system.
To perform a Purge Date Browse search
1 | Start a New Search. |
To do this, press F2 or find the process in the Searching folder on the navigation bar.
Horizon displays the Search window:
2 | Choose the Purge Date Browse option from the Indexes list. |
3 | Enter your search term date in the Search for field. |
For example, enter “Jan” to pull up all those records that have been tagged with a January purge date.
4 | Click OK or press ENTER. |
Horizon displays the Purge Date list.
5 | Choose the date entries that you are interested in. |
To choose more than one date at a time, click on each date that you want to view.
6 | Do any of these options: |

Horizon displays a Bib Detail record for the date entry.

7 | From the Purge Date list or Bib Detail record, press F10 or choose Edit, Send to. |
Horizon opens the Send To dialog box.
8 | Double-click the process to which you want to send the record. |
9 | Choose File, Delete Record. |
Horizon displays a message asking if it is OK to delete the record.
10 | Do one of these options: |
• | If you want to delete the record, click OK. |
Horizon closes the message box and deletes the record.
• | If you do not want to delete the record, click Cancel. |
Horizon closes the message box, and the bib record remains open in Cataloging.
