Using the Stock Rotation Batch Editor

The Stock Rotation Batch Editor allows you to assign multiple items (pulled from a search list) to a stock rotation.

The Stock Rotation Batch Editor is protected by privilege #690 (“CAT Stock Rotation Batch Editing”). Without this permission, library staff members will not be able to use the batch editor, regardless of other settings.

This functionality is hidden by default. If a staff member has the appropriate privilege setting, they will have to unhide the batch editor before it can be viewed in Horizon. Setting up multiple items for stock rotation batch editing

These instructions explain how to use the Stock Rotation Batch Editor to assign multiple items to a stock rotation.

To set up multiple items for rotation with the Stock Rotation Batch Editor

1 Open (double-click) the Stock Rotation Batch Editor under Cataloging > Item Record in the Horizon Launcher.

A Compound Search window displays.

2 Enter the search terms for the items you want to batch edit for rotation and click Search.

Your search result items will appear in the Stock Rotation Batch Editor window. You can continue to search to add different results to the list.

Note: Once your list of items appears, the Stock Rotation Batch Editor is very similar to the Item Group Editor. If you have the privilege #552 permission (“ADM Item Group Editor”), then you can batch edit item fields for all selected records. If you do not have this permission, you can only edit Rotation fields.

Important: If you have privilege #552 permission, you will notice that fields that are not in common across all selected records will be empty. Any changes you make to fields will override any existing values.You must make at least one change before the Save button becomes active.

3 Do one of the following:
Select one item from the list and click Edit Rotation (or choose Rotation > Edit Item Rotation from the menu bar).

The Batch Change Stock Rotation Item window appears.

Continue with step 4.

Select multiple items from the list and click Edit Rotation (or choose Rotation > Edit Item Rotation from the menu bar).

You are prompted to verify that you want to batch change all selected Records. Click OK.

The Batch Change Stock Rotation Item window appears.

4 Complete these fields:

Rotation group

If the item is going to rotate as part of a stock rotation group, specify the group code.

If the item is going to rotate individually, leave the this field blank

Rotation route

Specify the route code for the route that the group will follow when the items rotate

Start rotation date

Specify the date that the rotation will start if the status is set to “Active.”

Start rotation ord

Enter the location where the item will begin to rotate.

Note: This field indicates at what point in the rotation route this item will begin to rotate. For example, if Branch A has an ord of 10, Branch B has an ord of 20, and Branch C has an ord of 30, you could specify “20” for this item to begin rotation at Branch B.

Status

Choose one of these options:

Inactive. No rotations will be done.
Active. Rotation is active and ongoing.
Completed. Rotation has completed.
NO BATCH CHANGE. No changes will be made to this field.

Note: The NO BATCH CHANGE option is only present when editing multiple records.

End Rotation Action

Choose one of these options:

Repeat rotation. At end of rotation, the rotation starts over again
Send Item home. Items are returned to the location where they were at the time the rotation started.
Leave item at last location. Items stay at the last location on the rotation route.
NO BATCH CHANGE. No changes will be made to this field.

Home Location

Enter the code for the item’s home location (library).

5 Click Save.

Note: You must make at least one change for the Save button to be activated.

If your selected items do not already have a rotation record, then a new record will be created when you save.

Deleting rotation records

These instructions explain how to delete stock rotation records from items in the Stock Rotation Batch Editor.

If you delete a rotation record while any items are in an active rotation, the items will remain where they are currently located (i.e. they will not return to their home locations).

It is recommended that you do not delete a rotation record while its items are in an active rotation.

To delete rotation records

1 Open (double-click) the Stock Rotation Batch Editor under Cataloging > Item Record in the Horizon Launcher.

A Compound Search window displays.

2 Enter the search terms for the items you want to remove rotation records from and click Search.

Your search result items will appear in the Stock Rotation Batch Editor window. You can continue to search to add different results to the list.

3 Select the items you want to remove rotation records from and choose Rotation > Delete Item Rotation from the menu bar.

You are prompted to verify that you want to delete rotation records from the selected items. Click OK.

All stock rotation records are deleted from your selected items.

Note: Only stock rotation values are changed when you delete item rotation. No other values are changed in the item records.
