Creating a Report

You can create statistical reports to let you see the types of tasks that users perform. You can also create reports to see how the Information Portal system is working.

You can specify these elements when you create a report:

The profiles that will have their statistics included.
Whether the statistics are combined for all profiles or whether they are reported separately.
The type of statistics.
A date range.
An hourly, daily, or monthly report format.

This task explains all the options that you can use when creating a statistical report in Information Portal. (Other tasks in this section explain how to create specific types of statistical reports.)

You can also create your own reports using a third-party product, such as Crystal Reports, Reports Smith, or an Interbase SQL query tool like SQL Advantage. (Be aware that the security settings that you define in Information Portal are bypassed when you access the Information Portal database using third-party products.)

To create a report

1 Open your Information Portal Administration tool web site.
2 Click the Status tab.
3 Click the Create Report sub-tab.

The Administration tool displays the Create Report page:

4 Complete these fields:

Libraries and Profiles

1 Do one of these options:

To show combined statistics for all your libraries, choose Aggregate Statistics.

To show separate statistics for each library, choose Show Separately.

2 Do one of these options:

To include all profiles in the report, mark the Select All Profiles box.

To include only certain profiles in the report, mark the boxes of the profiles that you want.

Statistics Options

Choose the type of statistics that you want to include in the report:

To generate a report to determine how often specific indexes and searches are used, mark the Indexes box.
To generate a report that lets you see how users have used Information Portal over a range of time that you specify, mark the Sessions box.
To generate a report about the number of users who used My Account, mark the Borrower Types box.
To generate a report on how often Information Portal interacts with users and with your database, mark the System box.

Date Range

Choose the date range that you want the report to cover.

If you choose Range, choose specific starting and ending dates.

Aggregation Type

Choose whether to generate an hourly, daily, or monthly report.

5 Click Create Report.

The Administration tool opens another browser window with your requested report displayed.

6 If you want to, print the report using the browser’s standard printing functionality.
