Creating an Events Calendar Record
If you want to add an event to your library system, you can create an Events Calendar record. You use an Events Calendar workform to enter information about events.
Some events are regular and recurring, such as a club’s weekly Bingo game. Others, like your community’s Christmas parade, are held only once a year. Still others are for a limited time only, such as a summer theatre company’s run of a play. As you complete the workform, decide when you may want to update the information in the record to keep it current or to delete the record. The workform contains a tag to enter the date that you want to update or delete the record. Horizon builds indexes on these two dates for use in maintaining your database. You must decide on a convention to use when entering dates (for example, yyyy/mm/dd). This lets you perform a Date Take Action Browse or Purge Date Browse search to find the record at the designated time. (For more information, see Other Tasks.)
In addition to the take-action and purge dates, indexes are also built on the date or dates of an event. The workform contains tags to enter the beginning and ending dates of an event (such as a festival spanning several days) or a single date for an event (such as an Independence Day picnic). You must choose one tag or the other so that the system can accurately search for and display the event.
When you create an Events Calendar record, you should add authority tags. You can include author, series, and subject tags. This lets Horizon automatically create authority records for events.
