Creating and editing a stock rotation group

A stock rotation group is a group of items that are used in a stock rotation. The rotation group record defines a group code and description. It also includes which stock rotation route, a start date, a start ord, the group’s status, and an end rotation action.

Rotation groups are created in the table editor > rotation_group.

“rotation_group” is protected by privilege #692 (“ADM Stock Rotation Group Editing”). Without this permission, library staff members will not be able to create rotation routes.

To create or edit a stock rotation group

1 Do one of the following:
If you are creating a new stock rotation group, open the table editor > rotation_group, and click New.
If you are editing an existing stock rotation group, open the table editor > rotation_group, select the group you want to edit, and click Edit.

The Edit Stock Rotation Group window displays.

2 In the Rotation Group field, enter a name for the rotation group (for example, “av”).
3 In the Description field, enter a text description of the rotation group (for example, “Audio Visual Collection”).
4 In the Route field, specify the route code for the route that the group will follow when the items rotate.

Note: You will not be able to specify a route code if you have not already created a Stock Rotation route. For more information, see Creating and editing a stock rotation route.

5 In the Start rotation date field, specify the date that the rotation will start if the status is set to “Active.”

Note: The date format should match the date format of your local workstation.

6 In the Start rotation route ord field, enter the location where the item group will begin to rotate.

This field indicates at what point in the rotation route this item group will begin to rotate. For example, if Branch A has an ord of 10, Branch B has an ord of 20, and Branch C has an ord of 30, you could specify “20” for this item group to begin rotation at Branch B.

7 In the Status field, select one of the following options:

Option

Description

Inactive

No rotation will be done.

Active

Rotation is active and ongoing.

Completed

Rotation has completed. The end rotation action will occur when the items in the group are next checked in.

8 In the End rotation action field, select one of the following options:

Description

Repeat rotation

At end of rotation, the rotation starts over again.

Send item home

Items are returned to their home location when the rotation has completed.

Note: The home location is defined in the item rotation record (see Assigning items to a stock rotation).

Leave item at last location

Items stay at the last location on the rotation route.

9 Click Save and close the window.
