Importing an Index

The indexes that are available for Information Portal correspond to the search options that are available for a Horizon location. During your Information Portal installation, the Setup Wizard imported these indexes from your Horizon database when it created the Information Portal profile from the Horizon location. The wizard imported all of the indexes that were in the PAC flavor and for which it was able to assign a universal ID. (A universal ID is a unique alphanumeric code, no longer than five characters, that the system uses to determine which index to use for a certain type of search. For example, “GW” could be the universal ID for a General Keyword search.)

If you create a Horizon search option, you must import it manually and assign a unique universal ID to it. If you create new search options in Horizon and want to use them as indexes within Information Portal, you must import them also.

Before You Begin

If the search that you want does not already exist in Horizon, you must create it before you can import it into Information Portal as an index. (For instructions on creating a new Horizon search option, see “Search Options” in the “Searching Setup” chapter of the Horizon System Administration Guide.)

To import an index

1 Open your Information Portal Administration tool web site.
2 Click the Setup tab.
3 Click the Libraries sub-tab.
4 Click the name of your Library.

The Administration tool displays the Edit Library page.

5 Click the Indexes option.

The Administration tool displays a list of all the indexes in Information Portal.

6 Click the Import Index option above the list of indexes.

The Administration tool displays the Add Index-Select Index page:

This page lists all of the indexes that have not yet been imported into Information Portal.

7 Click Add next to the index that you want to add to Information Portal.

The Administration tool displays the Add Index-Information page:

8 Complete these fields to identify the index you are importing:

Enter the text that you want to display on the user search pages to describe this index.

(For example, enter “Author Authority” for an Author Keyword index.)

Note: The index label in profile takes precedence over this description field. (For more information, see Changing the Indexes within a Tabset.) However, if you enter a clear description here, then you may not need to enter a label when you add indexes to profile.

Shortcut

Accept the default or enter a two or three character alphanumeric designation for this index.

Primary Universal ID

Enter a unique alphanumeric designation, no longer than five characters.

This ID identifies this index within Information Portal and to remote searching locations.

9 Click Next to continue.

Information Portal imports the index information. If the index imports successfully, the Finish page for the Add Index wizard displays, showing the settings for this index.

If the import was not successful, the wizard displays an error message. Check the corresponding search option settings in Horizon. (For more information on Horizon search options, see the “Searching Setup” chapter of the Horizon System Administration Guide.)

Important: Do not use the browser’s Back function after the Finish page is displayed. This will corrupt your database. To make changes to this index, complete Editing an Index and Changing an Index’s Result Type.

10 Click OK.

The Administration tool returns to the listing of indexes for this Library. The index that you just imported displays in alphabetical order on the list.

11 Click Done.
12 When you finish making changes in Information Portal, restart the Application Server process (JBoss).
