MARC Maps

Horizon uses three MARC maps in Home Service: one for author, one for title, and one for subject. When you check out an item to Home Service borrowers, Horizon uses these MARC maps to extract and store the author, title, and subject MARC information for each item. Horizon displays this information on borrower slips so you know which items should be distributed to each borrower. (For information on borrower slips, see Types of Issue Slips.)

Horizon also displays the author, title, and subject information on the borrower log. The borrower log is a cumulative list of items that have been checked out to each Home Service borrower. It helps you determine what items are appropriate for a borrower. (For more information, see Reviewing the Borrower Log.)

If you want to display the author, title, and subject information on borrower slips and the borrower log, you need to create the corresponding MARC maps.

Horizon uses a certain amount of disk space to store the author, title, and subject information for each item. If you will have a lot of Home Service borrowers, if you want to conserve disk space, and if you do not mind omitting certain information from borrower slips and the borrower log, you do not need to create all three MARC maps. (For example, if you do not mind omitting subject information, you do not need to create the “hbsubj” map.)

To create the MARC maps, you can copy an existing MARC map and give it a new name. (For example, you can copy the “author” MARC map to create the “hsauth” MARC map. Then if you want, you can modify the MARC information that is included in the map according to the information you want to display.) You can also create the MARC maps from scratch. (For more information, see “MARC Maps” in the “General Setup” chapter of the System Administration Guide.)

You can create the MARC maps at any time. However, it is best to do it when you set up Home Service for the first time. That is because if you check out any Home Service items before you create the maps, it will be too late to extract the MARC information for those items, and the corresponding author, title, or subject information will not be displayed.

To create the MARC maps

1 Open the marc_map view in the Table Editor.

Horizon opens the List MARC Map window.

2 Highlight the MARC map that you want to copy. (For example, you may highlight the author MARC map.)
3 Choose File, Copy Record.

Horizon displays the Edit MARC Map window:

4 Enter the new Home Service code in the Marc_map Code field. (For example, enter “hsauth”.)
5 Enter a description for the new MARC map in the Description field. (For example, enter “Home Service Author Display”.)
6 Make sure you mark Do Not Run-on for the Run-on option.
7 If you want to modify other MARC information that is included in the map, follow these steps:
Click Page Down or resize the window to display the Extraction group:

Complete these fields for each tag in the MARC map:

The subfields or positions of the tag.

Conditional Part

Which part (subfield or position) must contain the conditional value in order to be indexed or displayed. (For an example of a conditional MARC map, see “Understanding Conditional Parts of a MARC Map” in the “General Setup” chapter of the System Administration Guide.)

Important: Entering conditions requires that you specify characters, such as the slash ( / ) before a position, and so forth. (For a list of conditional characters, see “Conditional MARC Map Syntax” in the “General Setup” chapter of the System Administration Guide. For an example of how a conditional character can be used, see “Example of a MARC Map with Conditionals” in the “General Setup” chapter of the System Administration Guide.)

Conditional Value

The value the conditional part must contain in order to be indexed or displayed.

First Tag: Prefix

Any constant string of characters you want to appear before the first displayed tag. (For example, if a display MARC map contains the 100 and 700 tags, you can enter “This is the first author:”.)

First Tag Suffix

Any constant string of characters you want to appear after the first displayed tag.

Other Tags: Prefix

Any constant string of characters you want to appear before other displayed tags. (For example, if a display marc map contains the 100 and 700 tags, you can enter “This is a secondary author:”.)

Other Tags: Suffix

Any constant string of characters you want to appear after other displayed tags.

HTML Format (Info Portal only)

If the Display MARC map that you are setting up is for setting up linking tags that display URLs or other information in Information Portal, such as the 856 tag, enter the format for the link in this field.

Distinct Subfields

Do one of these options:

If you want Horizon to treat each subfield in the extraction tag you are setting up as a separate entry in the index or as a separate line in your display, mark this box.

This option is specifically for Indexing and Display MARC maps. (For example, this feature lets you make full use of the enhanced content notes in the 505 tag.)

Note: If you mark this option, you must make sure the Do Not Run-on option is also marked for this MARC map.

If you want Horizon to treat all subfields as one entry, clear this box.
8 Save your changes.
9 Repeat steps 2 through 8 for the Dtitle and Dsubj MARC maps.
